This Privacy Policy explains how Italy Tour Company, LLC d/b/a Italy Tour Company (“Italy Tour Company,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information when you visit italytourcompany.com (the “Site”), schedule a consultation, plan or take a trip with us, interact with us on social media or messaging apps, or otherwise communicate with us (together, the “Services”).
This Policy works together with our Booking Conditions. If you book a trip with us, our Booking Conditions also apply. By using the Services, you acknowledge the practices described in this Policy.
1. Information We Collect
Information you give us
- Contact details, such as your name, email address, phone number, mailing address, and preferred way to reach you.
- Trip planning details, such as travel dates, destinations, interests, pace and travel style, budget range, accommodation preferences, special occasions, and the names, ages, and relationships of the people traveling with you.
- Booking details, such as traveler names as they appear on passports, dates of birth, passport or other identification details where a hotel, attraction, transportation provider, or law requires them, flight arrival and departure information, emergency contacts, and proof of travel insurance.
- Needs you choose to share, such as dietary requirements, food allergies, mobility or accessibility needs, and other health-related information that helps us plan your trip safely (see Section 3).
- Payment information, such as billing details and payment history. Card payments are handled by our third-party payment processor, and we do not store full payment card numbers.
- Communications, including emails, text and WhatsApp messages, social media messages and comments, feedback, reviews, and survey responses.
Consultation calls
When you schedule a discovery call, our scheduling provider collects your name, email address, and any answers you give when booking. With your permission, we may record consultation calls and create transcripts or notes so we can design your itinerary accurately. We will tell you before a call is recorded, and you may decline recording without affecting our services.
Information collected automatically
- Device and usage information, such as IP address, browser and device type, operating system, pages viewed, links clicked, referring website, time spent on pages, and approximate location derived from your IP address.
- Advertising interaction information, such as whether you reached the Site through one of our ads and what you did afterward.
- Cookies, pixels, and similar technologies, described in Section 7.
Information from other sources
- Other travelers. A lead traveler often gives us information about companions, including children. If you give us information about another person, you confirm that you are authorized to do so and that you have made this Policy available to them.
- Social media platforms, when you follow, comment on, or message our pages (for example, your public name, handle, profile photo, and the content you send or post).
- Travel partners, such as a hotel or guide reporting a service issue or incident during your trip.
- Service providers and advertising partners, such as analytics, advertising performance, and scheduling information.
- Referrals, when someone recommends us to you and shares your contact details.
2. How We Use Information
We use personal information to:
- Respond to inquiries and hold consultation calls.
- Design, price, revise, and deliver custom itineraries and proposals.
- Book and coordinate hotels, guides, drivers, experiences, restaurants, and other travel services.
- Process deposits, payments, invoices, and refunds.
- Support you before and during your trip, including coordinating changes and responding to emergencies.
- Send service messages about your inquiry or booking.
- Send marketing communications where permitted (see Section 8).
- Operate, secure, maintain, and improve the Site and our Services, including understanding which content and advertising are useful.
- Advertise our Services on other websites and platforms and measure how our advertising performs.
- Prevent fraud, enforce our Booking Conditions, resolve disputes, and protect our clients, partners, and business.
- Comply with legal, tax, accounting, and regulatory obligations.
- Carry out any other purpose we describe when we collect the information or with your consent.
We may also create de-identified or aggregated information (for example, which regions our clients visit most) and use it for any lawful purpose. We will not attempt to re-identify de-identified information.
3. Sensitive Information
Some information you share may be sensitive, such as food allergies, medical or mobility needs, passport or identification details, or information about children in your travel party. We collect this information only when you choose to provide it or when a travel supplier or law requires it. We use it only to plan and deliver your trip, protect travelers’ health and safety, and meet legal requirements. We share it only with the parties who need it, for example telling a restaurant about a serious allergy or a hotel about a need for step-free access. We never use sensitive information for advertising.
Residents of Washington, Nevada, and other states with consumer health data laws should also review Section 16.
4. Technology and AI Tools
We use technology, including artificial intelligence tools provided by third parties, to help run our business. For example, these tools may help us summarize consultation notes or transcripts, draft itinerary proposals, prepare content, and respond to routine questions sent through email or social media. A member of our team reviews itineraries and proposals before they are sent to you. We do not use automated tools to make decisions about you that produce legal or similarly significant effects.
These providers process information on our behalf.
5. How We Share Information
We share personal information as follows:
- Travel suppliers. Hotels, villas, guides, drivers, transfer companies, restaurants, wineries, boat operators, attractions, and other partners, many of them located in Italy, receive the information they need to provide your travel services. These suppliers may use your information under their own privacy policies and local laws. For example, Italian accommodations are generally required to register guest identity details with local authorities.
- Service providers. Companies that help us operate, such as website hosting and security, scheduling, payment processing, email and messaging, cloud storage, productivity, analytics, and AI tools. They may use personal information only to provide services to us.
- Advertising and analytics partners. Partners such as Google and Meta receive device and usage information through cookies and pixels on the Site, as described in Section 7.
- Professional advisors. Lawyers, accountants, auditors, and insurers, as needed.
- Legal, safety, and emergencies. When we believe disclosure is required by law or legal process, or is necessary to protect the rights, property, or safety of travelers, our partners, us, or others, including sharing information with medical providers, embassies, authorities, or your emergency contacts during an emergency on your trip.
- Business transfers. In connection with a merger, acquisition, financing, reorganization, or sale of all or part of our business.
- With your consent or at your direction, for example if you ask us to provide documents to your travel insurer.
We do not sell personal information for money, and we do not share sensitive information with advertising partners. Some state privacy laws treat the use of advertising cookies and pixels to show you ads on other websites as a “sale” or “sharing” of personal information. Section 7 explains how to opt out.
6. Social Media and Messaging Platforms
When you interact with us on Facebook, Instagram, WhatsApp, or other platforms, the platform’s own privacy policy governs how that platform collects and uses your information. Comments on our public pages are visible to others. We may respond to messages and comments using the tools described in Section 4. Please do not post passport numbers, health details, or other sensitive information in public comments; contact us directly instead.
7. Cookies, Analytics, and Advertising
We and our partners use cookies, pixels, tags, and similar technologies to operate the Site, remember your preferences, understand how visitors use the Site, and deliver and measure advertising. These include:
- Essential technologies that make the Site work and keep it secure.
- Analytics, including Google Analytics, which helps us understand Site traffic and usage. You can learn how Google uses information from sites that use its services at https://policies.google.com/technologies/partner-sites and install the Google Analytics opt-out browser add-on at https://tools.google.com/dlpage/gaoptout.
- Advertising, including Google Ads and the Meta Pixel, which help us measure the results of our ads and show our ads to people who have visited the Site.
- Embedded content, such as our scheduling tool, maps, videos, and social media features. The providers of that content may set their own cookies.
Your choices
- Use your browser settings to block or delete cookies. Some Site features may not work properly if you do.
- Manage Google advertising at https://myadcenter.google.com.
- Manage Meta advertising through the ad preferences in your Facebook or Instagram account settings.
- Opt out of interest-based advertising from participating companies at https://optout.aboutads.info and https://optout.networkadvertising.org.
Global Privacy Control. If your browser sends a Global Privacy Control signal, we treat it as a request to opt out of targeted advertising for that browser.
Do Not Track. The Site does not currently respond to browser “Do Not Track” signals.
8. Marketing Communications
With your consent or as otherwise permitted by law, we may send you emails about trip ideas, travel guides, and our Services. You can unsubscribe at any time using the link in any marketing email or by contacting us. Even if you unsubscribe, we will still send messages about your inquiry or booking.
We do not currently send marketing text messages. If we do in the future, we will ask for your express consent first, and you will be able to opt out at any time.
9. Photos, Videos, and Testimonials
As described in our Booking Conditions, we or our guides may take photos or videos during tours for promotional use unless you tell us in writing before your tour that you do not wish to appear in them. We will publish testimonials or reviews that identify you only with your permission.
10. How Long We Keep Information
We keep personal information only as long as reasonably necessary for the purposes described in this Policy, including to meet legal, tax, and accounting requirements and to resolve disputes. As a general guide:
- Inquiries that do not result in a booking: up to 3 years after our last contact with you.
- Booking, payment, and trip records: up to 7 years after your trip ends.
- Call recordings and transcripts: up to 90 days after your itinerary proposal is finalized. Planning notes may be kept with your trip records.
- Passport, identification, and health-related details: up to 90 days after your trip ends, unless we need them longer for a legal reason, claim, or incident.
- Marketing preferences: until you unsubscribe, after which we keep a record of your opt-out so we can honor it.
- Analytics information: as set by our analytics settings, currently up to 14 months.
11. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please avoid sending passport scans or other sensitive documents by unencrypted email when possible; contact us and we will suggest the best way to send them.
12. International Data Transfers
We are based in the United States. Your information will be processed in the United States and shared with travel suppliers in Italy and in any other country your trip includes, and our service providers may process it in other countries. Data protection laws in these countries may differ from those where you live. Where required, we rely on appropriate safeguards or on the transfer being necessary to perform our contract with you.
13. Your Privacy Rights and Choices
Wherever you live, you may ask us to:
- Access the personal information we hold about you.
- Correct inaccurate personal information.
- Delete your personal information, subject to exceptions such as records we must keep for tax, accounting, or legal purposes.
- Receive a copy of your personal information in a portable format.
- Opt out of marketing communications, targeted advertising, and any “sale” or “sharing” of personal information as defined by applicable law.
- Withdraw consent you have given us, without affecting processing that occurred before withdrawal.
How to make a request. Email info@italytourcompany.com with the subject line “Privacy Request.” We will verify your identity by matching information you provide against information we hold, and we may ask for more information if needed. You may use an authorized agent, but we may require written proof of the agent’s authority and verify your identity directly. We will respond within 45 days, or within any longer period permitted by applicable law, and will tell you if we need more time.
Appeals. If we deny your request, you may appeal by replying to our decision with the subject line “Privacy Appeal” within 60 days. We will respond to your appeal within the time required by applicable law. If you are not satisfied with the outcome, you may contact the attorney general or privacy regulator where you live.
No discrimination. We will not discriminate against you for exercising your privacy rights.
Nevada residents. We do not sell covered information as defined under Nevada law. You may still submit a request to opt out of any future sale by emailing us.
14. Additional Information for Visitors from the EEA, UK, and Switzerland
If data protection laws of the European Economic Area, the United Kingdom, or Switzerland apply to our processing of your information, Italy Tour Company, LLC, is the controller. We rely on the following legal bases:
- Contract, to plan, book, and deliver the trip you request.
- Legitimate interests, to operate, secure, improve, and promote our business, where those interests are not overridden by your rights.
- Consent, for non-essential cookies, certain marketing, and health-related information you share with us. You may withdraw consent at any time.
- Legal obligation, to meet tax, accounting, and legal requirements.
- Vital interests, to protect you or others in an emergency.
In addition to the rights in Section 13, you may object to or ask us to restrict certain processing, and you may object at any time to processing for direct marketing. You also have the right to lodge a complaint with your local data protection authority, such as the Garante per la protezione dei dati personali in Italy or the Information Commissioner’s Office in the UK.
15. Children’s Privacy
Our Services are intended for adults, and the lead traveler on any booking must be at least 18. We do not knowingly collect personal information directly from children under 13. Parents and guardians may provide information about children traveling with them, which we use only to plan and deliver the trip. If you believe a child has provided personal information to us directly, please contact us and we will delete it.
16. Consumer Health Data Privacy Notice
This section applies to “consumer health data” as defined by the Washington My Health My Data Act, Nevada law, and similar state laws, and supplements the rest of this Policy.
Categories we collect. Food allergies and dietary restrictions related to a health condition; mobility, accessibility, and disability-related needs; medical conditions, medications, medical equipment needs, or pregnancy information a traveler chooses to share because it affects trip planning; and emergency medical information.
Purposes. To plan and deliver the trip you requested (for example, arranging suitable meals, rooms, vehicles, routes, and pacing), to protect travelers’ health and safety, to respond to emergencies, and to comply with law.
Sources. Directly from you or the lead traveler in your party, and from travel suppliers if an issue or incident occurs during your trip.
Sharing. We share consumer health data only with travel suppliers who need it to provide services you requested; with service providers that store or process it on our behalf (such as email, cloud storage, and AI tools); with medical providers, emergency responders, or your emergency contacts in an emergency; and as required by law. We do not share consumer health data with advertising partners, and we do not sell it.
Consent. We collect and share consumer health data only as necessary to provide the services you have requested, or with your consent. You may withdraw consent at any time, although we may then be unable to arrange certain accommodations.
Your rights. You may ask us to confirm whether we collect, share, or sell your consumer health data; to access that data, including a list of all third parties with which we have shared it and contact information for them; to withdraw consent; and to delete your consumer health data. To make a request, email info@italytourcompany.com with the subject line “Consumer Health Data Request.” We will respond within 45 days, and you may appeal a denial as described in Section 13.
17. Third-Party Websites and Services
The Site may link to websites and services operated by others, including our travel partners. We are not responsible for their privacy practices, and we encourage you to review their privacy policies.
18. Changes to This Policy
We may update this Policy from time to time. We will post the updated Policy on the Site and change the “Last updated” date on this page. If we make material changes, we will provide additional notice as required by law.

Advertising and measurement. We use Google Ads conversion tracking and Google Analytics to understand how visitors find us and which of our ads lead to enquiries and bookings. When you arrive from one of our ads, we store a reference to that ad in a cookie on our own site for up to 90 days. When you submit our trip questionnaire, we send Google a one-way encrypted (“hashed”) copy of your email address so it can match your enquiry to the ad you clicked; Google does not receive your email address in readable form and uses it only for this measurement. Your questionnaire answers are stored in our own Google Workspace account and are not sold or shared. Call scheduling is handled by Calendly, whose own privacy policy applies to the details you give them. You can limit how Google uses your information at adssettings.google.com, block cookies in your browser, or write to info@italytourcompany.com to ask what we hold about you or to have it deleted.
